Exchange Rates User Help Page

Introduction

Exchange Rates is a dataseries in the Prices domain in KDW Data Warehouse (KDW)

Market exchange rates are an essential part for managing prices data in the system.

Official Exchange Rates will be entered by the HO. However, E.g. for Somalia we don’t have official exchange rates, so we use the secondary ones and these secondary rates are entered by the FO.

An Exchange Rate will be a Data Series at the same level in the hierarchy as Market Product, and the actual values for each month will be in Exchange Rate Value, which will be a subtype of Data Point.

NOTE: The system uses Interbank then Government then Secondary rate types.

This page provides help on how to enter, view, edit, import or delete exchange rate information between currencies from different countries.

Exchange Rate Value (Datapoints)

Search or filter Exchange Rates dataseries

The exchange rates page lists the currently available exchange rates in a grid format (see below) with column headers: From currency, From Currency Name, To currency, To Currency Name, Rate type, Market, Source document

The Exchange Rates dataseries page can be opened from KDW menu: Dataseries Management > Price > Exchange Rate menu.

You can search the list by entering a search criteria in the Search text-box at the top of the exchange rate page and clicking on the button to search and display matching results in the grid (see below).

In addition to searching the exchange rate records with a free-text criteria, the system also allows you to Filter the records by specifying one or more of the following filter criteria:

  • From Currency

  • To Currency

  • Country

To set a filter criteria, you can use the at the top-right side of the page (see below). When you specify a filter by selecting a value from the drop-down list, the system will automatically apply the filter and display the records that match all the filters you have specified.

Adding Exchange Rates

Before you can add exchange rates between two currencies, you will need to register both currencies in the system using Metadata Management > Common > Currencies page.

To add a new exchange rate, the following information is required.

  • From currency

  • To currency

  • Rate type:

    • Interbank: the monthly averages from OANDA

    • Government: i.e. official fixed exchange rates

    • Secondary: i.e. unofficial exchange rates

  • Source document

  1. From the Exchange Rates page, click on the Add exchange rate button

  2. In the Add exchange rate page that opens, enter all the required information. Please note that the fields shown in bold font are all required fields and the remaining fields are optional.

  3. Click on one of the buttons to save the data into the system. The system will Save the data and will display a proper message about the success of the saving operation.

Save buttons

  • Save and add another - Saves the entered exchange rates information and provides an empty form to save another exchange rate data.

  • Save and continue editing - Saves the entered data and stays on the current form for further updates

  • Save - Saves the entered data and opens the exchange rates page displaying the available exchange rates in the system

Editing Exchange Rates

An existing exchange rate information in the system can be modified and saved as needed.

To Edit a given exchange rate:

  1. From the list of Exchange rates page, click on the From currency column of the record you would like to edit.

  2. The system displays the Change exchange rate page as shown below.

  1. Modify the data in the page as needed and click on one of the buttons to save the modified records.

  2. The system will save the data accordingly and display success/error message.

Deleting Exchange Rates

An existing exchange rate information that is not published yet in the system can be deleted if necessary. The system allows for a deletion of one or more records as given below:

Deleting a Single Exchange Rate

  1. From the list of Exchange rates page, click on the From currency column of the record you would like to edit.

  2. The system displays the Change exchange rate page as shown below.

  1. Click on the button at the bottom-left side of the page to delete the record.

  2. The system will open another page with summary information on the dataseries you are about to delete including a list of exchange rate datapoints that belong under the exchange rate you selected. It will also display a prompt with a confirmation message Are you sure? and provides you with buttons at the bottom of the page.

  3. If you are certain that the records can be deleted, you can click on Yes, I am sure button. If you are not certain, please click on the link No, take me back. Please note that deleted records cannot be recovered and this functionality should be used sparingly.

Deleting one or more Exchange Rate

It is possible to delete multiple exchange rate data from the system by following the steps below:

  1. From the list of exchange rates page, select one or more exchange rates you would like to delete.

  2. From the Action drop-down list, select Delete selected exchange rates

  3. Click on the

  4. The system will open another page with summary information on the data you are about to delete with a list of exchange rate datapoints that belong under the exchange rates you selected. It will also display a prompt with a confirmation message Are you sure? and provides you with buttons at the bottom of the page.

  5. If you are certain that the records can be deleted, you can click on Yes, I am sure button. If you are not certain, please click on the link No, take me back. Please note that deleted records cannot be recovered and this functionality should be used sparingly.

Importing Exchange Rates

An exchange rate data that is available in a file with various formats (XLS, CSV, TSV, JSON, YAML) can be directly imported into the system using the Import functionality.

Users can upload/import a bulk file containing columns from_currency, to_currency, rate_type, market, country, datasourcedocument, data_source_organization, data_source_document, schedule, data_usage_policy, geographic_group, fewsnet_region, start, end, id, created, modified, specialization_type, name, description, datasets, is_calculated, _country, datausagepolicy, market, dataseries_ptr and upload into the system using the Import functionality.

To import exchange rate dataseries in a file into the system:

  1. From the Exchange Rates pages, click on the Import exchange rates button.

  2. The system opens the Import exchange rate page where you can upload the file and specify the file format/type by selecting a value from the Format drop-down list.

  3. Click on the Submit button to start the import process.

  4. After the processing the data in the uploaded file, the system will display the summary of number of records that are:

    • New - the records in the file to be newly added to the system.

    • Updated - the records in the file that will be updated into an existing data in the system.

    • Delete - the records in the file that will be deleted from the system.

    • Skip - the records in the file that will be skipped.

    • Error - the records in the file that has error in the data and will not be added to the system.

    • Total - total number of records in the file.

  5. To continue with the import, please click on the button at the right side of the page.

  6. The Exchange Rates dataseries data will be imported and appropriate message will be displayed.

Exporting Exchange Rates

Exchange Rate Value datapoints under Exchange Rate dataseries can be downloaded as described here.

Downloading Exchange Rates

The system allows downloading of Exchange Rates data in CSV format for the selected Exchange Rates dataseries.

To download Exchange Rates data:

  1. From the list in Exchange Rates page, click on the link within the From currency column of the record you would like to download.

  2. The system displays the Change Exchange Rates page.

  3. Click on the button at the top-right side of the page.

  4. When the system displays the save file dialog box, save the file in the desired location on your local computer.

Browsing Exchange Rates

The system also allows an on-line viewing of exchange rate data for the selected exchange rate dataseries.

To Browse exchange rate dataseries:

  1. From the list of Exchange rates page, click on the From currency column of the record you would like to browse.

  2. The system displays the Change exchange rate page.

  3. Click on the button at the top-right side of the page.

  4. Then the system displays the Data Series Explorer page where you can see the details of the datapoints in the exchange rate including the previous value and percentage change of each datapoint as compared to the previous one.

Viewing Charts of Exchange Rates

The system displays the datapoints in an exchange rate in a flexible time-series chart format allowing to easily see the exchange rate values over a period of time.

To View exchange rate chart:

  1. From the list of Exchange rates page, click on the From currency column of the record you would like to view the chart.

  2. The system displays the Change exchange rate page.

  3. Click on the button at the top-right side of the page.

  4. Then the system displays the Data Series Chart page where you can see the details of the datapoints in the exchange rate as a trend-line chart.

The Charts page will let you select the date range for the datapoints that you would like included in the chart by:

  • Setting the Zoom period to 6 months, YTD, 1 year, 2 year, 3 year, 4 year, 5 year, or All datapoints in the exchange rate

  • Specifying a free start date (from date) and end date (to date)

Viewing History of Exchange Rates

The system tracks various events that are performed against an exchange rate data including the addition, updates or deletion of exchange rate data in the system.

To View the history of an Exchange Rates:

  1. From the list in Exchange Rates page, click on the link within the From currency column of the record you would like to view the history.

  2. The system displays the Change Exchange Rates page.

  3. Click on the button at the top-right side of the page.

  4. Then the system displays the Change history page where you can see the details of the updates and other operations carried out against the selected Exchange Rates record (see below).

Search or Filter Exchange Rate Value

The Exchange Rate Value page lists the currently available Exchange Rate Values in a grid format (see below) with column headers: Data series, Period Date, Collection Status, Value

The Exchange Rate Value page can be opened from KDW menu: Dataseries Management > Data Points > Exchange Rate Value menu.

We can add Exchange Rate Value datapoints into the system using the import functionality described below

Editing Exchange Rate Value

An existing Unpublished Exchange Rate Value information in the system can be modified and saved as needed.

To Edit a given Exchange Rate Value:

  1. From the list in Exchange Rate Value page, click on the link within the Data series column of the record you would like to edit.

  2. The system displays the Change Exchange Rate Value page as shown below.

  1. Modify the data in the page as needed and click on one of the buttons to save the modified records.

Deleting Exchange Rate Value

An existing Exchange Rate Value record which is not yet Published in the system can be deleted if necessary. The system allows for a deletion of one or more records at a time as given below:

Importing Exchange Rate Value

Users can upload/import a bulk file containing columns from_currency, to_currency, rate_type, market, country, period_date, datapoint_status, value, dataseries, datacollectionperiod, datacollection, data_source_organization, data_source_document, collection_date, collection_name, start_date, period_notes, id, created, modified, status, status_changed, specialization_type, description, high_value, ci95_low, ci95_high, market into the system using the Import functionality.

To import Exchange Rate Value data in a file into the system:

  1. From the Exchange Rate Value pages, click on the Import Exchange Rate Value button or you can open the same page from Dataseries Management > Import > Import Exchange Rate Value menu.

  2. The system opens the Import page where you can upload the file and specify the file format/type by selecting a value from the Format drop-down list.

  3. Click on the Submit button to start the import process.
